Email Delivery

We sometimes get reports of emails making their way into client’s junk folders and so wanted to shed some light on this subject as well as give you a few tips to help improve delivery rates.

Why do some emails go into spam folders even if they are not spam?

The short answer to this is that the systems that exist to try to detect and protect us from spam are automated systems and they often get it wrong. The system that we see getting it wrong the most often is the Microsoft anti-spam technology. This affects hotmail, outlook and live email accounts.

What do we do our end?

To start with, we never send spam emails. We constantly monitor and ensure that we maintain a good server reputation and we do our best to ensure that our emails do not appear to be spammy. Sometimes though, because we need to send file attachments and links and contact numerous people throughout each day, our emails may appear to be spammy to certain automated systems.

What can you do your end?

To help ensure that you always receive our emails you can take the following steps.

Communicate to your email provider that you DO want to receive our emails.

You might not realise this but how you interact with emails sends signals to your provider about whether of not you wanted to receive them. If for example you regularly delete emails without opening them, you are saying ‘I do not want these emails’ and that can be enough for them to start going into junk. If an email does go into your junk folder – you can mark the email as ‘not junk’ which tells the system that it got it wrong this time and can help ensure that it doesn’t happen again.

Make sure that our email addresses are not in your blocked senders list.

This might be an obvious one but it does sometimes happen that people accidentally block us as a sender. Make sure that info@stevegranthealth.com & admin@stevegranthealth.com are not in your blocked sender list. Some email programs have a ‘blocked domain’ section so check to make sure that the stevegranthealth.com domain is not blocked too.

Check your spam filters

You might find that your own spam settings are causing the issue. Hotmail for example has the option to ‘only trust email from addresses in my safe senders, safe domains and safe mailing lists’. The higher the level of filters, the less likely you will receive email.

Add us as a contact in your email program

If someone is a contact within hotmail for example, then it is much less likely that their emails will go into your spam folder. Make sure you add both info@stevegranthealth.com & admin@stevegranthealth.com as contacts.

Add us as a safe sender

This is a separate action to adding a contact and from our thorough testing – when someone is marked as a safe sender, you will received their email. Make sure that info@stevegranthealth.com & admin@stevegranthealth.com are listed as a safe senders.
